Debt collection that runs on a timeline, not on memory

When a customer stops paying, what saves you is a disciplined record: who called, what was promised, which letter went out, and when. Flows runs collections as a milestone timeline on the contract itself — every step logged, every document archived, penalty interest accruing by the rules.

01The milestone timeline

Your collection process, step by step

Milestones are defined by you in settings to match how your company actually collects. A typical escalation looks like this — each event logged with its date, outcome, and files:

Calls & site visits

Log each call or visit with what the customer said and promised — the next person picks up exactly where you left off.

LINE & written reminders

Record reminder messages with the amounts sent, so 'we already told them twice' is provable.

Lawsuit

If it comes to court, the contract already holds the full evidence set: plan, payments, letters, and timeline.

02Before & after

Chasing debts from a notebook vs. from Flows

Most collection chaos isn't about effort — it's about records living in someone's head.

Notebook & memory collections

  • Who promised what lives with whoever made the call
  • Letters exist — somewhere in a drawer or an outbox
  • Penalty interest is negotiated from a guess
  • When staff leave, the debt's history leaves with them
  • Court needs evidence you now have to reconstruct

Timeline collections in Flows

  • Every call, promise, and visit is on the contract's timeline
  • Every letter is archived with its delivery proof
  • Penalty accrues daily by the contract's written rules
  • Any colleague can take over from the record
  • The evidence set is already complete, in order

Why Flows

What makes Flows different

Not another generic ERP — a system built around how Thai SMEs actually buy, sell, and collect.

See how onboarding works
  1. Priced per company, not per seat

One annual price, every module included. Add users freely within your tier — no feature gates, no seat fees.

  2. Three languages with auto-translation

Thai, English & Chinese UI — and the data your team enters is translated automatically, so everyone reads the same records.

  3. Your documents, exactly your format

Send us your invoice and receipt templates; our team configures them into Flows. Every document comes out looking like yours.

  4. We walk you live — and stay

Five-step onboarding at no extra cost, then quarterly system stability reports. We don't disappear after go-live.

05Questions

Frequently asked questions

How does debt collection work in Flows ERP?

Overdue contracts appear in the collections workspace, where each follow-up — call, visit, LINE reminder, demand letter, lawsuit step — is logged as a milestone on the contract's timeline with its date, outcome, and attached files. Penalty interest accrues in parallel by the contract's rules.

Can we customize the collection milestones?

Yes — milestone types are defined in business settings, so the timeline matches your real process rather than a fixed script. Add, rename, or reorder steps as your process evolves.

Does the collection process comply with Thailand's Debt Collection Act?

Flows gives you the discipline the law rewards — dated records of every contact and copies of every letter. What you say and when you contact debtors remains your team's responsibility under the Act (พ.ร.บ. การทวงถามหนี้), and the timeline makes your side provable.

Can several colleagues work the same debt?

Yes — the timeline lives on the contract, not in one person's notebook. Anyone with access sees the full history, and @ mentions bring a colleague into a specific follow-up.

Where do demand letters and their proofs live?

In the collection document archive on the contract: the generated letter, the EMS tracking details, and any signed acknowledgment — the complete set a lawyer asks for, already in order.

What if the customer finally pays, including penalty?

Write the payment off against the plan as usual; penalty payments are registered in the penalty module and offset the accrued balance. Negotiated waivers are recorded with an audit trail.
