Onboarding

From first login to go-live — walked, not thrown

An ERP rollout shouldn't be a leap of faith. Flows onboarding is a five-step path we walk together: you test the real system first, we scope the fit together, and the Yangshu team stays beside you through go-live — then keeps showing up every quarter after it.

The path

Five steps to go-live

Each step ends with something in your hands — not a promise of progress.

  1. Try the real system

Start with the free one-month trial or a 30–45 minute guided demo — real screens, sample data, nothing to install. Bring your own cases and see how they'd look in Flows.

You leave with: a real impression

  2. Talk & confirm the fit

We go through how your business actually runs — contracts, billing, stock — and confirm the plan and scope together before anything is signed.

You leave with: a confirmed scope

  3. Define your fields & forms

Focused sessions mapping the exact fields your business needs — on customers, contracts, products. The form designer adds them without development.

You leave with: your fields on the forms

  4. Templates & your data

Send us your document templates and we configure them in — every document comes out looking like yours. Meanwhile your team imports existing records via Excel templates with validation reports.

You leave with: your paper & your data inside

  5. Train & go live

Hands-on training per role, a parallel-run period on real work, then a controlled go-live — with the Yangshu team on standby throughout.

You leave with: a team that runs it

After go-live

We don't disappear

Most ERP stories go quiet after the invoice. Ours gets a paper trail.

Ongoing follow-up

The same team that onboarded you keeps supporting you — questions answered, workflows refined, new staff trained as you grow.

Quarterly stability reports

Every quarter, a report on your system: uptime, performance, backups, and what we improved — proof the system your business runs on is being looked after.

Hosted & maintained by us

Updates, security patches, and backups happen on our servers without interrupting your work. Nothing for your team to maintain.

Onboarding questions

How long does Flows ERP onboarding take?

Typically 6–12 weeks from scoping to go-live, depending on branches, data volume, and how much customization your forms and templates need. We confirm a realistic timeline together in step two.

Who imports our existing data?

Your team does, using Flows' Excel import templates with validation reports — it keeps you in control of your own records. We guide you through the format and check the results with you during the parallel-run period.

What do we need to prepare?

Three things: your document templates (invoice, tax invoice, receipt files), a list of the fields your business tracks, and your existing records in Excel. We help you shape all three during the sessions.

What's in the quarterly stability report?

Uptime and performance of your system, backup status, issues we detected and fixed, and improvements shipped that quarter — a one-page proof that the system your business depends on is being actively looked after.

Is there a cost for onboarding?

No separate fee — scoping, field definition, template configuration, training, and go-live support are all included in the annual plan. Only custom development (API integrations, special modules) is quoted separately.

Can we keep using our current system while switching?

Yes — that's exactly what the parallel-run period is for: your team runs real work in both systems for a while, compares the results, and go-live happens only when Flows has proven itself on your own numbers. Nothing is cut over on faith.

If we ever leave, is our data locked in?

No. The same Excel export that serves daily work exports your registers in full — customers, suppliers, contracts, documents data, stock — at any time, without asking us. Your data stays yours; we'd rather keep you with quarterly reports than with a lock.

How is the training run, and for how many people?

Hands-on and per role: the finance team trains on write-offs and documents, warehouse staff on stock, management on the dashboards — everyone learns their own screens on your real setup. All users in your plan are covered; new hires later are trained as part of ongoing support.
