Contracts

The problem. Contracts were many, long, and stored in files that were easy to misplace. Following one from signing to final payment meant asking several people, and often nobody had the current version.

With Flows ERP. The contract is the main record, with its collection progress, invoices, and payments attached. Anyone with access can see where a contract stands without asking around.

Receivables

The problem. Part of the business leases telecom ducts, and the rental terms and periods differ from contract to contract. Remembering when each payment was due was almost impossible, so overdue amounts built up and cash was unpredictable.

With Flows ERP. Each contract's payment plan is entered as written, and the system creates the amounts and dates from it. Reminders come before the due date, and overdue amounts appear the day they go late, so the team follows up in time.

Paying subcontractors

The problem. Projects are split between subcontractors, which means many contracts, many payments, and paperwork moving by hand. Duplicate and incorrect payments happened, and settlement disputes took weeks to resolve.

With Flows ERP. Each subcontractor has its own contracts with payment plans, and every payment is written off against them. The write-off center shows what is already settled, permissions decide who can pay, and every change is logged.

Seeing how each branch is doing

The problem. Management wanted regular figures for each branch, but staff compiled them by hand, which was slow, late, and easy to get wrong.

With Flows ERP. Contracts carry the branch and project reference in a custom field, so the data center can show money in and out, receivables and their aging, and margins for each one.

A: Contract management and receivables. We build telecom infrastructure, so projects are long and the contracts and payments pile up. Before, all of it was in paper files and scattered spreadsheets, hard to find and harder to track. Now the whole line — signing, delivery, collection — is in one place, and I can see the receivables position myself and step in on the ones that look risky.

Q: What changed about getting paid?

A: We used to chase by feeling, or wait for the customer to pay. Sometimes an amount was already overdue and we had not noticed. Now finance can see what is due soon and what is late, so the follow-up happens on time. Our receivables turn over noticeably faster.

Q: Smaller companies care about practicality. How does Flows do there?

A: It fits how we actually work, without features we would never use. The screens are clear, so training cost almost nothing. Contract data, receivables, payables, and reporting are linked, so we enter something once and use it in several places, which cuts repeat work and mistakes. The price is reasonable for a company our size, and support answers quickly when we get stuck.
