Contracts
The problem. More than 1,500 contracts lived in spreadsheets that several people edited. Versions drifted apart, a payment plan was occasionally typed in twice, and answering a simple question about one contract meant opening several files.
With Flows ERP. Every contract sits in one register with its instalment plan, its documents, and its full history. The team sees the status, the balance, and what happens next on one screen.
Instalments and penalty interest
The problem. Each contract has its own terms, and late payments accrue penalty interest by its own rules. Working that out by hand across 1,500 contracts made penalty interest hard to calculate correctly.
With Flows ERP. Instalments come from the contract's payment plan, and penalty interest accrues daily by each contract's own rules. When a negotiation ends in a waiver, the waiver is recorded with who approved it.
Cheques and matching payments
The problem. Customers pay by cheque, and clearing results arrived as bank files that someone retyped. Matching them to contracts took days every month.
With Flows ERP. Cheques are tracked from received to cleared, and the monthly clearing results are imported automatically using Yangshu's AI OCR reconciliation tool, which saves one person about three days a month. Payments are then written off against the contracts, one by one or in a batch.
Collections
The problem. Calls, letters, and legal steps were kept in inboxes and phone notes. When a case moved to a lawyer, someone had to rebuild the history from memory.
With Flows ERP. Every call, site visit, reminder, demand letter, and court step is recorded on the contract's timeline with its date, result, and files. The case history is ready the day it is needed.
